POSITION SUMMARY
Under the general supervision of the Director of Auxiliary Services and Operations, the Auxiliary Services Coordinator will be responsible for the administration of meal plans for residential students. This individual will serve as the primary point of contact for residential meal plan operations, troubleshooting, payment processing, and customer service. Additionally, this position will provide administrative support, assist with budget reconciliation, and ensure the accurate financial tracking of meal plan transactions. This is a highly collaborative position, requiring regular coordination with Dining Services, Student Housing and Residential Life, and other campus stakeholders.
Examples of Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES include. but are not limited to. the following:
Meal Plan Administration
• This position serves as the primary administrator for residential student meal plans, overseeing all aspects of meal plan loading, troubleshooting, billing, and reconciliation.
• Collaborates with Dining Services to coordinate, prepare, and administer policies and internal procedures of meal plan operations; monitor for compliance; review and revise as necessary.
• Ensures timely and accurate meal plan enrollment each semester by coordinating data with Student Housing and Residential Life and Dining Services.
• Conducts regular audits and reconciliations of meal plan charges and ensures proper application of billing adjustments.
• Manages the meal plan change, cancellation, and refund process, ensuring compliance with established policies.
• Analyzes and prepares reports on meal plan utilization, identifying trends and providing recommendations for operational improvements.
• Assists in the development and implementation of meal plan pricing structures and policies in alignment with institutional goals.
• Serves as the primary customer service representative for residential meal plan-related inquiries from students, parents, and campus partners, ensuring timely and professional resolution of concerns.
• Tables at events such as Move-In, Orientation, Admitted Otter Day, and more.
Accounting and Budget Analysis
• Assists the Director and Assistant Director of Auxiliary Services and Operations with preparing financial reports and updates.
• Conducts monthly reconciliations of financial transactions related to meal plan charges, payments, and adjustments.
• Ensures proper accounting of meal plan revenues and expenses.
• Reviews financial documents for accuracy, completeness, and compliance with University Corporation services policies.
• Assists with reconciling departmental budget transactions; creates and processes purchase requisitions, purchase orders, and reconciles purchasing cards as necessary.
• Creates, tracks, and audits all purchase requisitions, purchase orders, and purchasing card transactions.
• Maintains records of service contracts and assists with coordination of renewals, ensuring financial obligations are met.
• Manages purchase requisitions, processes invoices, and reconciles purchasing card transactions in compliance with procurement procedures.
• Supports financial audits by compiling relevant records and documentation.
Administrative Support
• Provides primary office support services necessary to meet the day-to-day operating needs of the office.
• Composes correspondence, reports, and other documents as requested.
• Establishes and maintains a complex system of files and records for physical and electronic materials.
• Schedules and coordinates meetings as needed; prepares minutes or summary notes and conducts follow-up on action items.
• Develops and maintains process documentation for meal plan administration, ensuring continuity and efficiency.
• Collaborates with peers in the CSU system to collect and benchmark meal plans and other data, identify best practices, and provide recommendations for program improvements.
• Promotes and maintains an atmosphere of excellent internal and external customer service within the department and campus community.
OTHER FUNCTIONS
• Performs other duties as assigned by the Director and/or Assistant Director of Auxiliary Services and Operations.

KNOWLEDGE, SKILLS, AND ABILITIES
• Strong administrative and organizational skills with the ability to simultaneously coordinate and implement various activities using sound and independent judgment.
• Ability to review financial documents for accuracy, completeness, validity, and adherence to standards.
• Knowledge of basic accounting principles, budget reconciliation, financial analysis, and report generation.
• Utilize problem-solving techniques in finding solutions to complex accounting problems; understand and apply applicable rules, regulations, policies, and procedures; work independently; and make sound decisions and recommendations regarding accounting activities.
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) with demonstrated ability to use Excel for financial tracking and analysis.
• Ability to use and learn new financial software, meal plan systems, and other university systems and tools (e.g., CFS, CBORD, StarRez).
• Excellent interpersonal and communication skills, with the ability to provide high-quality customer service in a fast-paced environment.
• Strong attention to detail and ability to identify and resolve discrepancies.
• Demonstrated experience that clearly provides evidence of the knowledge and skills required to perform each essential duty satisfactorily.
Qualifications
MINIMUM QUALIFICATIONS
Education and Experience:
• Bachelor’s degree in business administration, finance, accounting, or a related field AND
• 2-5 years of experience in budget management and financial statement preparation or an equivalent combination of education and experience.
• Knowledge of financial practices, budgeting, and accounting.
• Demonstrated experience with customer service and administrative support in a professional setting.
• The ability to use and quickly learn new technology systems and platforms.
DESIRABLE QUALIFICATIONS
• Experience working with students in a university setting.
• Experience in a student housing setting and/or experience with StarRez (or similar) housing management software is highly desirable.
• Technical fluency in university systems, including, but not limited to, CFS and CBORD (PCS).
• Demonstrated understanding of and commitment to the CSUMB Vision Statement and the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence.

The hourly hiring range for this position is $27 – $30. Classification: Grade 4, Staff. This is a non-exempt position and as such is eligible for the overtime provisions of the Fair Labor Standards Act.
