Student Organization Accounts Specialist

The Student Organization Accounts Specialist is responsible for overseeing all aspects of the student organization banking program, including daily operations, policy and procedures development, and training of staff and student organization leaders. Collaborates with the A.S. Office Supervisor and Front Desk staff to ensure excellent customer service to student organizations regarding banking and Campus Program Funding transactions. Assists with accounts payable processes in absence of the Accounts Payable Coordinator.


ESSENTIAL DUTIES & RESPONSIBILITIES

Primary Functions
  • Responsible for the daily operation of student organization accounting to include request for information, deposit verification, and donation reporting
  • Responsible for reviewing and approving student organization banking applications, ensuring compliance with CSU policies and student organization recognition process
  • Directs and guides student organizations for Campus Program Funding requests
  • Develops and refines the student organization accounting policies and procedures and provides training to student organizations as necessary
  • Oversees Cal Coast Credit Union student organization banking program; Develops, modifies and maintains procedures of program
  • Oversees and directs student employees assisting in student organization banking program
  • Collaborates with A.S. Office Supervisor to ensure Front Desk staff is trained to assist student organizations regarding student organization banking and Campus Program Funding transactions
  • Responsible for deposit verification oversight at the A.S. Ticket Office
  • Gains a working knowledge of accounts payable processes and procedures to provide backup coverage as needed
  • Assists others in department with special tasks as assigned

Customer Service and Collaboration
  • Ensures excellent customer service is provided to student organizations at all times and establishes positive rapport with student organization leaders
  • Establishes and maintains positive working relationships with the A.S. Office Supervisor and Front Desk staff
  • Establishes and maintains positive working relationships with various A.S. departments, University departments and outside vendors
  • Responds to accounting questions from employees, students, and various outside vendors

Safety
  • Ensures all operations are conducted with safety of staff and customers as first priority, and in accordance with the Injury and Illness Prevention Plan and other safety policies
  • Adheres to Associated Students’ Code of Safe Practices
  • Reports accidents to supervisor and reviews changes required to avoid reoccurrence
  • Reports maintenance problems and/or broken and unsafe equipment to the appropriate party immediately


Minimum Requirements

Education:
  • High School Diploma required. Bachelor’s degree in finance or accounting or related field preferred
Experience:
  • Minimum one year’s experience in an office setting required
  • Minimum one year’s experience in customer service role required
  • Minimum one year’s supervisory experience preferred
  • Minimum one year’s cash handling experience preferred
Trainings:
  • Sexual Harassment Prevention for Supervisors
  • Data Security & Privacy

COMPENSATION
Starting Range : $21.69 – $23.08, per hour, Non Exempt

SCHEDULE & WORKING CONDITIONS This is a regular, full-time position with expected hours of Monday through Friday, 8 a.m. to 4:30 p.m.


WORK ENVIRONMENT   The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Work is generally sedentary in nature, but may require standing and walking around campus. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.

PHYSICAL DEMANDS   The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. This position requires the individual to spend long hours sitting and using office equipment and computers. This person will also spend time filing and have to do some lifting of supplies and materials from time to time, including banker boxes and files.


A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered this position with Associated Students. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current Associated Students employees who apply for the position. A credit check is also required for this position.

The members that make up the Auxiliary Organizations Association (AOA) are the auxiliaries of the 23 campuses in the California State University (CSU) system. The mission of the AOA is to facilitate the role of individual auxiliaries on their respective campuses by providing the auxiliaries with the resources and services that enable them to be more effective.
